Brother Printer Setup and Troubleshooting

Brother printers are known for reliable text output and efficient toner use, but the best experience comes from a clean setup: connect to the right network, install official drivers, and keep firmware and supplies in good shape. This guide covers Wi-Fi and Ethernet setup, mobile printing, driver choices, and the most common fixes for offline status, streaks, or AirPrint discovery problems.

Choose Wi-Fi or Ethernet

For flexible placement, use Wi-Fi; for maximum stability, use Ethernet near your router. Most Brother home and SMB models prefer 2.4 GHz Wi-Fi—stick to that band for range. If you use a mesh system, pair the printer with the main node first to avoid discovery issues. Avoid guest networks that block local devices.

Connect to Wi-Fi

On touchscreen models, go to Network > WLAN > Setup Wizard, select your SSID, and enter the password. On button-only models, enable WPS by holding Wi-Fi until it flashes, then press your router's WPS button. If WPS fails, re-enable it in the router or use the wizard with manual password entry. Print a network report to confirm status and IP.

Ethernet Setup

Plug in the Ethernet cable, then open Network settings and choose Wired LAN if needed. The printer should grab an IP automatically. Reserve that IP in your router to keep ports stable for Windows and macOS hosts.

Install Drivers on Windows

Download the Brother Full Driver & Software Package for your model. Run it and select the connection type (Wireless or Wired). Avoid relying solely on Windows Update, which may install a basic driver without scan utilities or toner status. After installation, print a test page and scan a sheet to verify both paths.

Install Drivers on macOS

On macOS, add the printer under System Settings > Printers & Scanners. If prompted, install Brother's driver from the Apple prompt or download it from Brother support. Choose the Brother driver instead of AirPrint to keep access to maintenance tools. If discovery fails, add by IP using the address from your network report with protocol IPP or LPD.

Mobile Printing and Scanning

For iPhone and iPad, AirPrint should work automatically once the printer is on the same network. Open Share > Print from any app and select the Brother printer. If it doesn't appear, disable VPN/Private Relay and ensure both devices share the same subnet. For Android, install Brother iPrint&Scan and enable the Android Print Service Plugin for direct printing from Chrome or Gmail.

Fix Offline or Not Found

Firmware and Security Updates

Update firmware via Brother's utility or the web interface (enter the printer's IP in a browser). New firmware improves Wi-Fi stability and patch security issues. Keep admin passwords set on networked printers, especially in offices, and disable protocols you don't use (Telnet/FTP) in the network settings.

Supplies and Cost Control

Brother lasers are efficient, but worn drums or low-yield toners raise costs and quality issues. Use genuine or high-quality compatible toner; if you use aftermarket, pick vendors with good chip support to avoid “toner not detected” messages. For inkjets, print weekly to keep nozzles clear and avoid full-page cleaning that burns ink. Store supplies in a cool, dry place to prevent clumping or drying.

AirPrint and Bonjour Tips

AirPrint relies on Bonjour multicast. Disable VPN, ensure the printer and iOS device are on the same subnet, and avoid guest or isolated SSIDs. If you use VLANs, allow mDNS between the phone and printer. As a fallback, print through the Brother iPrint&Scan app, which can discover the printer even if Bonjour is filtered.
