The HP OfficeJet Pro 9025 is a fast, business‑class all‑in‑one with duplex printing, a single‑pass ADF, Wi‑Fi and Ethernet, and solid scan quality. It’s part of the 9020 series, so most setup steps apply to close siblings like the 9015 or 9022, but the 9025 adds a few workflow improvements. This guide takes you from unboxing through driver installation and explains the small details that prevent common problems later—like network dropouts, “offline” status in Windows, or scan buttons not working.

Unbox and Prepare the Printer

  1. Remove all tape, cardboard spacers, and foam from inside and under the scanner lid.
  2. Extend the input tray and output tray fully.
  3. Plug in the power cord and turn the printer on.
  4. Choose language, region, and time if prompted.

Let the printer finish its startup noises before you continue.

Install Ink Cartridges

Install Drivers on Windows

Download the HP OfficeJet Pro 9020 series Full Feature Software or install HP Smart. Run the installer and choose Wi‑Fi or Ethernet. If the printer isn’t discovered, connect USB temporarily so the installer can talk to it, then remove USB once the network link is confirmed. When done, print a test page from Settings > Printers & scanners.

Install on macOS

If you use fax, connect a phone line to the LINE port and run the fax setup wizard. For DSL service, add a DSL filter. You can send a test fax to verify line quality before you rely on it for real documents.

Fixing “Printer Offline”

If Windows shows the printer offline even though it’s on:

  • Print a Network Report and find the current IP.
  • Open Printer properties > Ports and switch to a Standard TCP/IP port matching that IP.
  • Avoid WSD ports; they often break when the IP changes.
  • Reserve the IP in your router to keep it stable.

Useful Extra Settings

From the printer panel or Embedded Web Server (type the IP in a browser), you can set:

  • Quiet Mode for night printing.
  • Automatic two‑sided printing as the default.
  • Paper type presets so the printer doesn’t guess wrong.
  • Firmware updates to improve Wi‑Fi stability and scan performance.

Use the Embedded Web Server (EWS)

The 9025 has a very capable web admin panel. Open a browser, enter the printer’s IP address, and you’ll reach EWS. From there you can see wireless signal strength, run diagnostics, set a static IP, manage scan shortcuts, and check ink status. If your computer can’t find the printer but EWS loads, the issue is almost always a driver or port mismatch rather than a network failure.

HP Smart vs Full Driver, HP+, and Instant Ink

HP Smart is the easiest day‑to‑day app for printing and scanning, while the full feature driver gives more control over paper profiles and duplex defaults. Either works fine for most users, but if you want scan‑to‑computer or advanced maintenance tools, install HP Smart even if you use the full driver. During setup, some regions may offer HP+ or Instant Ink enrollment. These are optional services; they can add conveniences like automatic ink shipping, but they also expect an active internet connection and may restrict cartridge choices. If you prefer standard cartridges without ongoing services, skip HP+ and continue with normal setup.

Paper Tray and Print Defaults

Set your default paper size and type in the printer settings so it doesn’t pause on every job asking for confirmation. If you print envelopes or photo paper occasionally, save those as presets in the driver rather than switching the tray settings back and forth. On Windows, you can set duplex, color/black‑only, and quality defaults in Printing preferences so common documents print the way you expect without extra clicks.
